ASSISTANT PROTOCOL

MANUAL AND PROCESS FOR HIRING


OVERVIEW:

This document will cover all necessary items as it pertains to having an assistant or shadower in our spaces, at both Meraki Hair Lounge locations.

PURPOSE:

The purpose of this document is to ensure there are explicit rules and protocol for hiring an assistant that are understood by all stylists and service providers in our salons. Explicit information on the importance of seeking approval for all people working in our space. Maintaining a comfortable work environment for all stylists in our space with no surprises or strangers in common tenant areas. To maintain the salon owner’s knowledge in the daily happenings in the salon spaces. To uphold our principles and culture.

DEFINITIONS:

Salon Standard:

A certain level of expertise taught and led by their stylist/trainer. If an assistant is not ready to blow dry or finish out a client to our salon professional standard it is required the stylist/trainer set aside training days to ensure salon standards are met. This applies to any services an assistant would perform on a paying client in the salon.

SHADOWER:

A shadower is someone who comes in to observe a stylist in their work environment. This is generally a one time instance, or infrequent. Can become more regular assuming all stylists in the space feel comfortable with the shadowers presence and feel it is an overall benefit to the work day. The shadower will not be paid, however is responsible to contribute to cleaning some portion of the salon before they leave in exchange for watching the stylist work. Shadower must be approved by the salon owner before appearing in the workplace.

assistant:

An assistant is someone who has been selected by a specific stylist in the workplace to help with whatever tasks the stylist needs accomplished in their work day. An assistant can be paid or unpaid. An assistant must be insured by the stylist in the space and documentation must be presented to the salon owner before the assistant is present in the workplace. The assistant must have a legal copy of their license on display during days they are assisting. Assistant can work on hair and clients under the stylists supervision but cannot use any additional spaces other than the stylists rented station to work on a client. All assistants must go through an interview process with the salon owner before working in the space.

PROTOCOl : shadower

  • Stylist has met their shadower and has explained all salon rules and expectations to them

  • Stylist has selected a date and specific timeline in which the shadower will observe them working

  • Stylist will request permission from the salon owner for the shadower to be present in the salon

  • Stylist and shadower confirm the date of shadowing upon approval

  • Stylist chooses clean up job for the shadower to do in exchange for the day of observation

  • Stylist manages where the shadower is at all times and makes sure shadower is not in the way of other stylists and is introduced to stylists as they encounter the shadower

  • Stylist makes sure the shadower does not touch clients or chemicals or products during the shadow day


Shadower tasks:

  • Can film content

  • Can rip foils or hand stylist foils

  • Can help with basic clean up

SHADOWER RESPONSIBILITIES:

  • Clean up duties in exchange for day of shadowing

PROTOCOL : ASSISTANT

  • Stylist has met their assistant and given them a basic description of responsibilities and tasks as it pertains to obtaining an assistant position

  • Stylist requests permission to obtain assistant from salon owner

  • Stylist and salon owner work together to set up an interview with the assistant

  • Once the interview is completed the salon owner will either approve the assistant working in the space or not

  • Upon approval, the stylist must present renters insurance that will also cover the liability of their assistant working under them

  • Assistant must have a legal copy of their operator license with them anytime they are working in the salon with the stylist

ASSISTANT TASKS:

  • Can film content

  • Can rip and hand foils to stylist

  • Can mix color

  • Can blow dry clients to salon standard finish (stylist should be sure their assistant is up to salon standard of blowdrying)

  • Can apply toners, glosses and root smudges to salon standard

  • Can prep clients for stylist with a salon standard hair wash and or treatment

  • Can sanitize items following proper sanitation guidelines

ASSISTANT RESPONSIBILITIES:

  • Must represent the salon and stylist in a professional manner

  • Must help with daily tasks around the salon including laundry and trash

  • Must make sure they are not disruptive or in the way of stylists working

  • Must follow all salon rules

  • Must respect salon culture

ADDITOINAL ASSISTANT REQUIREMENTS:

In order to have an assistant working with you in the salon there must be an additional fee for the extra body in our space. All of our stylist pay rent to be able to occupy our space daily and to maintain fairness, there will also be a fee applied to the stylists weekly rent to cover the additional person in the space, as all additional bodies add to costs. The additional person will also be using all amenities our stylists pay for everyday.

ASSISTANT RATES:

  • An additional fee of $20 will be added to the stylists rent weekly during the duration of the assistants time in the salon

  • This is a flat rate and is applied whether the assistant comes to work or not

  • There must be a minimum of one weeks notice to alter the rent fee in the event the assistant is moving on from working in our space permanently

  • You are not renting an additional chair for your assistant to perform services in, if you wish to occupy more space, you must be legally renting more space.

LIABILITIES:

The stylist is responsible to make sure their assistant is always following rules and is behaving in a professional manner in our salons. The salon owner will intervene as necessary by bringing any and all concerns directly to the stylist as it pertains to their assistant. The stylist understands the importance of approval of additional people working in our space legally as well as socially.

The assistant must be covered by insurance in the event anything were to happen. The salon is not responsible for any legal issues that may arise regarding the assistant.

Our salon culture is extremely important and the wellbeing of all stylists is a priority. If the assistant impedes on these items in any way they will be instructed to leave the premises by the salon owner or manager.

PAYING YOUR ASSISTANT:

The salon owner will not pay your assistant for you. You must come to an arrangement that both you and your assistant feel is reasonable. This payment must be done legally as a 1099 or W2 and it is the sole responsibility of the stylist to be sure all payment and paperwork are up to date and are in working order. There cannot be any “under the table” payments made to the assistant unless it is in the form of “tipping out’ the assistant. The assistant cannot ask the salon owner for payment of any kind.

If you are entering an agreement without payment, it is advised the stylist create a contract or letter of intent describing and outlining the assistants roles and the expectants that will be held.

The assistant knows and understands the exact timeline of their position

The assistant knows once their time assisting is completed there may not be a full time or part time chair rental position available for them within our salon.

If there is a chair available and the assistant wishes to transition to renting a chair in our salon, they will need to apply and interview with the salon owner.

Differences between an assistant and a shadower:

A shadower cannot touch any clients or chemicals. An assistant can perform services on clients at salon standards. A shadower is there for a specific purpose of learning and observing. An assistant is hired with a specific job to do as discussed and agreed upon by the stylist/trainer and the assistant. Assistants must be hired on with a formal interview with the salon owner, a shadower can be approved without a formal meeting but still requires approval.

Both an assistant and shadower must be announced and introduced to the entire group of independent contractors working in the salon space through our salon group chat. This way there is no discomfort with a new person occupying space as they have all been informed.

If a shadower is seen touching hair, chemicals or clients they will be asked to leave the premises by the salon owner or manager as the proper approval requirements have not been met.

Failure to comply with protocol:

Failure to comply with all above statements and protocol can leave you at risk to be evicted from our salon permanently.

KEY POINTS:

  • All assistants and shadowers must first be approved to occupy our space by the salon owner.

  • Shadowers are not permitted to touch hair, chemicals or clients.

  • If you utilize an assistant there will be a $20 fee added to your weekly rent

  • The assistant is required to be insured for any liabilities

  • The assistant is required to have a legal physical operators license displayed

  • A shadower must do a cleaning duty in exchange for the day of observation

  • The assistant must be informed of all rules and requirements of doing business I our space

  • The assistant and stylist can only use their permitted rented chair to service clients, an additional chair must be rented in order to be used

  • All assistants must be introduced to the entire group of independent contractors that will work in the same space as them

  • The stylist decides whether or not they will pay their assistant and that must be handled in a legal form of payment
